Tender for Maintenance of Central Air Conditioning Systems at KLTPS Gujarat

The selected contractor will be responsible for the following tasks:

• Complete maintenance and servicing of Central Air Conditioning systems, including Package ACs and Tower ACs at various locations within KLTPS.
• All allied auxiliaries of the AC plant must be inspected, maintained, and repaired as needed.
• Ensure energy-efficient operation and compliance with safety standards.
• Perform routine inspections, preventive maintenance, and emergency repairs.
• Coordinate with plant operations to minimize downtime.

The process includes:

1. Initial assessment and site inspection.
2. Preparation of maintenance schedules.
3. Implementation of maintenance activities.
4. Regular reporting and documentation.
5. Final testing and commissioning of repaired systems.

The contractor must provide all necessary tools, equipment, and skilled manpower to ensure timely completion of all tasks as per the tender requirements.

The HVAC systems to be maintained include various models of Package ACs and Tower ACs with the following parameters:

Sequential procedures for technical compliance:

1. Review of existing systems and documentation.
2. Inspection of all AC units and auxiliaries.
3. Testing and calibration of control systems.
4. Implementation of preventive maintenance routines.
5. Final system testing and certification.

All work must conform to manufacturer specifications and safety standards, with documentation provided for each maintenance activity.

The total estimated budget for this maintenance project ranges between ₹20 lakh and ₹30 lakh, depending on the scope and scale of work. The breakdown includes:

Payment terms are as follows:

• 50% of the total contract value upon approval of initial work plan.
• 30% after completion of scheduled maintenance milestones.
• 20% after final inspection and acceptance.
  All payments will be processed through bank transfer following submission of detailed invoices and work completion reports.
