Invitation to Bid - Tender for hiring outsourced vehicle (01 Nos) (AC Car,1200 CC or above, Vehicle should not be older than 2024 & shall be in good condition with valid Registration in Karnataka) in KARNATAKA

Bidders shall not be under a declaration of ineligibility for corrupt and fraudulent practices issued by Government of Karnataka

It shall be the responsibility of the Bidder to ensure credit of Tender Processing Fee and EMD into the respective receiving bank accounts of e-Procurement on or before the last date and time of bid submission.

EMD Payments through e-Payment mode shall be made as one single transaction and payments made in part are liable for rejection.

Tentative 01 nos. of vehicle, the vehicle should not be older than 2024 and shall be in good running condition

Vehicle to be provided by service provider should be commercial vehicle ,with valid registration in Karnataka, Full Insurance cover

Amount quoted should be inclusive of mandatory fee, road taxes, and any other requisite requirements etc under law

The Service Provider shall ensure the proper maintenance and upkeep of the vehicles including good tyre conditions, proper battery condition andother parts of the vehicle to the satisfaction of the office

During the period of contract, the vehicle shall be at the disposal of the department 24x7. The vehicle shall be parked at the premises of the office

The vehicle should not be changed by the contractor without the permission of the department

The department will pay only hire charges for the vehicle.

All legal obligations in respect of the vehicle i.e. Insurance, Road Tax, RTO registration and permission etc. should be fulfilled and borne by the contractor and will be the sole responsibility of the contractor

In the event of emergency breakdown of a vehicle, the contractor shall make alternative arrangement by providing a substitute vehicle

In case of any dispute or question of interpretation of any condition laid down in the tender document, the decision of the Commissioner, HDUDA will be final.

Rate quoted and accepted shall be valid for a period of 12 months. The contract can be extended for maximum of 1 consecutive years only on the same terms and conditions by the HDUDA

The Commissioner HDUDA, reserves the right to accept or reject any or all the tenders without assigning any reason whatsoever. And power to terminate the said agreement before the expiry of the said vehicle.

Fialure to perform the contract satisfactorily or submission of any false / misleading information will invite action for forfeiture of performance security and such bidder may be debarred from participation in any tenders to be floated by the HDUDA upto 3 years

In the event of any dispute arising out the tender such dispute would be subject to the jurisdiction of the Civil Court within the city of Dharwad only.

The bidder must have a valid PAN card (self attested photocopy to be attached).

The bidder must have a valid Goods and Service Tax registration number issued by the Central Excise/Service Tax Department (self attested photocopy to be attached).

Earnest Money Deposit at of Rs. 12000 to be submitted through KPPP. Any bid without complete earnest money deposit will be rejected. EMD will be returned to the unsuccessful bidders at the end of the selection process. However, the EMD shall be forfeited in case a successful bidder withdraws subsequently or the details furnished by such bidder are found to be incorrect or false during the tender selection process. No interest shall be paid on the EMD s and for the bidders who do not qualify, EMD will be returned after finalization of tender process. The EMD deposit of successful bidder will be retained & converted into Performance Security on as it is basis. This performance security amount will be refunded only after satisfactory completion of contract including warranty obligations, if any. However, if provided in shape of Bank Guarantee the validity of Bank Guarantee should be valid for 14 months.

The service provider should have a minimum of three years of experience in similar services (outsourced vehicle). The service provider shall submit proof of providing such services along-with satisfactory performance report / certified from the Organization / Department to which the service were provided

The Commissioner HDUDA will issue letter of acceptance of rates to the substantially responsive L1 bidder. The issue of letter of acceptance shall tantamount to formation of contract agreement and shall be governed by the terms and conditions mentioned in this tender document

The rates quoted shall at least be valid for a period of 180 days for acceptance from the date of opening of technical bids in addition to the prescribed contract period
