Bidders must upload OEM authorization (either from BHEL or a single authorized agency), provide Technical Data Sheets for all offered items, and sign the Technical Compliance. The purchaser may adjust quantity by up to 25% of bid quantity during contract placement and up to 25% during the currency at contracted rates. Extended delivery time is calculated as (Increased quantity ÷ Original quantity) × Original delivery period, with a minimum of 30 days.

Materials are inspected at NTPC Stores on receipt. Vendors should ensure that all offered items meet the required standards and provide full documentation, including Technical Data Sheets and OEM authorization, for smooth acceptance.

Acceptable sources are BHARAT HEAVY ELECTRICALS LTD as the OEM or a Single Authorized agency of the OEM with tender authorization uploaded with the offer; all other vendors face rejection unless properly authorized.
