Ensure compliance with option clause allowing 25% quantity variation.

Submit GST certificate, PAN, company profile, financial statements, EMD payment proof, experience certificates for similar supply, NABL/central lab test reports, OEM authorizations if applicable, and proof of service centers. Include advance sample submission details and correspondence verifying approval timelines.

Bidders must provide NABL/ILAC accredited test reports or Central Government Lab conformity proof. Testing must verify fabric, stitching, size registration handling, and durability per contractual specs. Approved samples must match bid specifications exactly; non-conforming samples may lead to contract termination.

Two advance samples must be submitted within 5 days of award. Buyer will respond with approval or modification list within 7 days. If buyer delays, delivery period is adjusted accordingly without liquidated damages; ensure rapid alignment with approvals to avoid schedule slippage.

The Purchaser may increase or decrease quantity by up to 25% of bid quantity at contract placement, and up to 25% during the contract at contracted rates. Delivery schedule extends proportionally with the added time formula, not exceeding the original delivery period.

Bidder must have a functional service center in each consignee state for carry-in warranty; otherwise establish one within 30 days of award. Payment is released after documentary evidence of service center establishment. On-site warranty may alter service center obligations.

Nominated inspection can be NABL-accredited lab testing pre-dispatch or Board of Officers inspection post-receipt. Pre-dispatch inspection applies if ATC selects it; otherwise post-receipt inspection validates conformity to specifications before final acceptance.

Option clause allows quantity fluctuation up to 25%, with delivery time recalculated as (additional quantity/original quantity) × original delivery period, minimum 30 days. If original period is shorter, additional time equals the original period; extended periods may extend delivery accordingly.
