Annual Turnover Certificates of last 3 preceding financial years issued from Chartered Accountant or competent authority i.e. for 2022-23, 2023-24, 2024-25.
Declaration for abiding terms and conditions of tender and also declaration for abiding terms and conditions laid under the Goods Manual under standards tender documents- K/G-I.

Separate statement of compliance for the tender specifications shall be clearly mentioned in the proforma provided. VI. A
Technical specifications information of the tender item Section-VI including product brand / make/ module and warranty period. Literature, brochure, catalogues etc., of the work / equipment should be provided.
The agencies shall submit the signed documents of all sections of K/G-I standard tender documents uploaded by the purchaser in e-procurement portal.
The Tenderer / Contractor / Agency has to upload the documents of Class-I Electrical Contractor License, Electrical Supervisor License and wireman license permit for carryout the electrical work or with undertaking letter from electrical contractor to be enclosed, in case of electrical work connected equipments.
Undertaking by the vendor in the prescribed format. Section VIII- Tender Form of K/G-I
Users certificate/s of work completion / supplies / Installations of similar nature for the last 3 financial years supplied to various Government / Quasi Government Organizations /Autonomous Institutions/ Universities as per Section- VII- QUALIFICATION CRITERIA of K/G-I.
Valid Address, Email. ID, Contact Person, Contact No., for correspondence and placing the supply order.
Vendors shall mention the period required for supply of the item under the tender notification in their technical bid.
Tenderers should not be associated, or have been associated in the past, directly or indirectly, with a firm or any of its affiliates which have been engaged by the Purchaser to provide consulting services for the preparation of the design, specifications, and other documents to be used for the procurement of the goods to be purchased under this Invitation of Tenders.
Bidders shall not be under a declaration of ineligibility for corrupt and fraudulent practices issued by Government of Karnataka
It shall be the responsibility of the Bidder to ensure credit of Tender Processing Fee and EMD into the respective receiving bank accounts of e-Procurement on or before the last date and time of bid submission.
EMD Payments through e-Payment mode shall be made as one single transaction and payments made in part are liable for rejection.
The tenderer should be a manufacturer who must have manufactured, tested and supplied the equipment (s) similar to the type specified in the ‘Schedule of Requirements’ up to at least xxxx % of the quantity required in any one of the last 3 years. The equipments offered for supply must be of the most recent series models incorporating the latest improvements in design. The models should have been released on or after xxxxx and be in satisfactory operation for xxxxx months as on date of tender opening. Certificates to be provided as per Section XII of Tender Document.
In case of authorized representative/dealer of a manufacturer - The manufacturer furnishes authorization in the prescribed format assuring full guarantee and warranty obligations as per General Conditions of Contract and Special Conditions of Contract. Manufacturers Authorization Form to be provided as per Section XIII of Tender Document.
In case of authorized representative/dealer of a manufacturer - The tenderer, as authorized representative/dealer , has supplied, installed and commissioned satisfactorily at least xxxxx % of the quantity similar to the type specified in the Schedule of Requirements in any one of the last three years which must be in satisfactory operation for at least xxxxx months on the date of tender opening. Certificates to be provided as per Section XII of Tender Document.
The legal status, place of registration and principal place of business of the company or firm or partnership.
Details of experience and past performance of the tenderer on equipment offered and on those of similar nature within the past three/five years2 and details of current contracts in hand and other commitments.
A detailed description of the essential technical and performance characteristics of the goods.
A list giving full particulars, including available sources and current prices, of spare parts, special tools, etc., necessary for the proper and continuing functioning of the goods for a period of two years, following commencement of the use of the goods by the Purchaser.
Manufacturers and also authorized representative of manufacturers (OEM) / suppliers are permitted to participate in this tender.
Tenderers are advised to note the qualification criteria specified in section-VII to qualify for award of the contract.
The tenderers / successful bidder shall abide by the general conditions of contract and special conditions of contract laid under standard tender documents KG-1
Bidders shall not be under a declaration of ineligibility for corrupt and fraudulent practices issued by the Government Institutes / Universities etc.,
a) If the tenderer is a manufacturer, he must have manufactured, tested and supplied similar to the type specified in the Schedule of requirements upto atleast 80% of the quantity required in any one of the last 3 years. However, it will be 40% with respect to Micro & Small Enterprises in any one of the last 3 years (2 years for Micro and Small Enterprises). The equipments offered for supply must be of the most recent series models incorporating the latest improvements in design. The models should be of latest model and be in satisfactory operation for last 12 months as on date of tender opening.b) If the tenderer is a authorized representative of manufacturer he must have supplied, installed and commissioned satisfactorily atleast 30% of the quantity similar to the type specified in the schedule of requirements in any one of the last 3 years and be in satisfactory operation for at least 12 months as on date of tender opening. (Section VII of standard tender documents)
EMD: The Participating bidder will have to pay Earnest Money Deposit (EMD) Compulsorily through e-Procurement Portal by anyone of the modes as specified in the e-procurement system.Micro and small enterprises registered with NSIC under a single point vendor registration scheme, shall be facilitated by providing tenders sets free of cost, exempting from payment of EMD during purchases by all government department and state owned PSUs. However, the agencies claiming EMD Exemption should enclose the letter of confirmation about the agency.(Name of the Agency) is eligible for exemption of EMD for supply of items from the competent authority, alongwith NSIC Certificate.The bidders having only MSME Udyam Registration Certificate have to compulsorily make the payment of the EMD. Non-compliance by the Tenderer to any conditions will entail rejection of the tender and forfeiture of the EMD.EMD will be returned to the bidders after finalization of the bid.
The details of the tender can be had & downloaded through e-Procurement portal http://kppp.karnataka.gov.in and the bidders have to participate in tender online only. Bidders have to get updated with the corrigendum/addendum (if any) issued online from time to time on the e-Procurement Portal during the entire tender process.
The tenderer should make presentation before the technical committee if required. The technical committee will evaluate the same before finalizing the tender.
The Technical bid should be complete in all respects and contain all information about the item as per the tender specifications.
The successful bidder has to supply the item within 30 days from the date of placing the work order
The Purchaser reserves the right to accept or reject any tender, based on the product / work quality and specification. During the supply and installation by the successful bidder, the work will be tested by the purchaser.
Bidders must upload all the required documents, otherwise the tender shall be considered as non responsive.
Commercial Bid: Commercial bid for item as specified in the e-Procurement system shall be submitted electronically. The bidder should quote the price including applicable GST, Transportation, insurance & any other Charges in the required format as specified in the e-procurement system
The quantity shown in the tender is approximate and liable to vary.
Successful Tenderer has to deposit a sum equal to 5% of the total value of the quoted price as Security Deposit in addition to Earnest Money Deposit. Security Deposit will be returned after completion of warranty period and satisfactory working of equipment. The SD and EMD amount will not earn any interest.
The successful Tenderer shall execute an agreement on a stamp paper of Rs.500/- from the date of issue of letter of acceptance agreeing to the conditions of providing service, commissioning, and testing within the stipulated period. If the Tenderer does not comply the said condition within the stipulated period, the tender will be rejected and EMD and Security Deposits will be forfeited.
In case of any dispute arising out of this contract, the decision of the University is final.
Mode of Payment: payment will be made only after satisfactory completion of the supply and after certification from the user department.
The University reserves the right to accept, reject or postpone any or all of the Tenders without assigning any reasons thereof. The agencies may please note that, the university is at its discretion to withdraw any or all the items invited under the subject notification at any time.
All disputes arising out of or in any way connected with the Agreement shall be deemed to have arisen in the court of Dharwad jurisdiction.
Conditional tenders are liable for rejection
The TDS under GST and IT as applicable will be deducted from the bill during the payment.
Firms under common ownership should not participate in the same tender. If the partners / proprietors of the firms are identical, they are not allowed to participate in the same tender.
