Bidders should prepare company letterhead compliance documents, submit COC, test reports, warranty certificates, OEM authorizations, GST, PAN, and financials. Ensure alignment with ITI item codes, Make/Part numbers, and GeM contract reference. Provide sample approval from the user department before bulk supply and comply with staggered Lot 1 (15 days) and Lot 2 delivery timelines.

Required documents include GST registration, PAN, financial statements, experience certificates, COC, test reports, warranty certificates, OEM authorizations, and sealed technical compliance on company letterhead. Invoices must reflect GeM contract number, ITI item code, Make & Part Number, and quantity for each lot.

Payment is 100% within 45 days after delivery and acceptance. Ensure delivery acceptance by ITI; prepare invoices showing GeM contract number, ITI item code, Make & Part Number, and quantity to trigger payment processing.

Obtain explicit sample approval from the user department before bulk supply. Submit the approved sample documentation to ITI, and ensure the delivered items conform to ITI item codes, Make, and Manufacture Part Numbers as specified in the technical document.

Lot 1 must be delivered within 15 days from contract order date; Lot 2 delivery occurs on user notification. Ensure packaging and inspection readiness for final clearance at ITI works, with freight responsibility for any rejections.

Final inspection occurs at ITI works; rejected goods are returned freight-covered by the supplier. Submit COC, test reports, and warranty certificates with supply; ensure warranty terms align with ITI specifications.
