Tender for Providing & Erecting Temporary LED Screen & Multimedia for Independence Day Celebrations in Bhavnagar

The selected contractor will be responsible for:

• Supplying, installing, and commissioning Temporary LED Screens suitable for outdoor cultural programs.
• Providing Multimedia equipment including projectors, sound systems, and control units.
• Managing Live Videography with professional cameras, streaming, and recording facilities.
• Implementing Watch Out Software for real-time event monitoring.
• Conducting two days of rehearsals prior to the main event.
• Ensuring smooth operation during the main cultural program on 15th August 2026.

The process involves:

1. Submission of technical and financial bids.
2. Technical evaluation based on equipment quality, experience, and compliance.
3. Financial assessment for cost competitiveness.
4. Final selection and contract award.

The contractor must ensure all equipment complies with the specified technical standards and safety regulations, as detailed in the tender documents.

All deliverables must be completed within the completion period of 3 days, including setup, rehearsals, and dismantling post-event.

The equipment used must meet the following technical parameters:

Sequential procedures include:

1. Delivery of equipment to the site.
2. Installation and testing.
3. Rehearsal and final adjustments.
4. Main event execution.
5. Dismantling and cleanup.

All equipment must be compliant with safety standards and certified for outdoor use.

The total estimated budget for this project is approximately ₹34,41,862.44. The payment will be made in the following manner:

Bidders must submit a detailed financial proposal along with the bid, ensuring transparency and compliance with the specified budget. The bid validity period is 120 days from the date of submission.
